Privacy Policy
Effective Date: 10/01/2025
This Privacy Policy describes how Revelwood Inc. (“we,” “us,” or “our”), through its Pingster Software division, collects, uses, and shares your information in connection with your use of our Google Sheets extension, Pingster (the “Extension”). By using the Extension, you agree to the collection and use of information in accordance with this policy.
1. Information We Collect
When you install and use the Extension, we automatically collect the following information from your Google Account:
Spreadsheet Data: We access and process data from the Google Sheets where you have activated the Extension. This includes data within all cells, as well as the names and URLs of the spreadsheets, sheet names, and named ranges. We only access this data to fulfill the functions of the Extension, such as checking conditions you have defined and sending emails.
User Information: We collect your Google Account email address.
Usage Data: We may collect basic, anonymized telemetry data related to your use of the Extension, such as feature usage and performance metrics. We do not collect any of your user content (data from your spreadsheets) for this purpose.
We do not store your spreadsheet data on our servers. All processing of spreadsheet data occurs within your Google Account, and we only access it temporarily to perform the tasks you’ve requested. The only sensitive data we store on our servers is your Google Account email address, which is used to manage your licensing and access to paid features.
2. How We Use Your Information and Legal Basis for Processing
We use the information we collect for the following purposes. Our legal basis for processing this data is the performance of a contract with you, specifically to provide you with the functionality of the Extension.
To Provide and Maintain the Extension: The primary purpose of collecting your data is to operate the Extension, including checking defined conditions in your spreadsheets and sending emails on your behalf.
To Manage Your Account: We use your email address to check your license status and provide access to features.
For Analytics and Product Improvement: We may use anonymized usage data to understand how users interact with our Extension. This helps us improve the Extension's features, performance, and user experience. We will not use personally identifiable information or your content for this purpose without your explicit consent.
3. Data Ownership and Retention
Data Ownership: You retain full ownership of all data in your Google Sheets spreadsheets. We do not claim any rights to your content beyond what is required to provide the Extension.
Data Retention: We retain your data (specifically, your email address and any stored telemetry data) for as long as you have an active account with us. This includes both paid subscribers and users on the free tier. If you choose to delete your account, or if your account is inactive for an extended period, we will permanently delete your data from our systems.
4. Our Role as a Data Processor and Your Role as a Data Controller
When you use the Extension to process personal data (for example, sending emails to recipients whose information is in your spreadsheet), you are the Data Controller for that data. This means you are responsible for:
Ensuring you have a lawful basis (e.g., consent, legitimate interest) for processing the personal data of your recipients.
Providing appropriate privacy notices to your recipients.
Responding to data subject requests (e.g., access, rectification, erasure).
Implementing appropriate technical and organizational measures to protect the personal data you process.
To the extent that we process personal data on your behalf as part of providing the Extension, we act as a Data Processor. We will process such data only on your documented instructions, as set out in this Privacy Policy.
5. Our Commitment to GDPR Compliance
We are committed to complying with the General Data Protection Regulation (GDPR) and other applicable data protection laws. We implement and maintain appropriate technical and organizational measures to ensure a level of security appropriate to the risk, including:
Pseudonymization and encryption of personal data where feasible.
The ability to ensure the ongoing confidentiality, integrity, availability, and resilience of processing systems and services.
The ability to restore the availability and access to personal data in a timely manner in the event of a physical or technical incident.
A process for regularly testing, assessing, and evaluating the effectiveness of technical and organizational measures for ensuring the security of the processing.
If you require a Data Processing Addendum (DPA) for your organization's compliance needs, please contact us at support@pingstersoftware.com.
6. Information Sharing and Disclosure
We do not share your personal information with any third-party companies.
Please be aware that as a Google Sheets extension, your use of the service is also subject to Google’s privacy policies. We are not responsible for how Google collects or uses your data.
7. Your Data Security
We are committed to protecting the security of your data. We follow industry best practices, including using data minimization principles, to ensure that the only sensitive information we store on our servers is your email address. While we strive to use commercially acceptable means to protect your personal information, no method of transmission over the Internet or method of electronic storage is 100% secure.
8. California Consumer Privacy Act (CCPA) Notice
If you are a California resident, you have specific rights under the CCPA regarding your personal information. This Privacy Policy is compliant with the CCPA.
No Sale of Personal Information: We do not sell your personal information.
Right to Know and Right to Delete: You have the right to request that we disclose what personal information we collect, use, and disclose. You also have the right to request the deletion of your personal information, subject to certain exceptions. You can exercise these rights by contacting us using the information provided below.
